Direct Billing Policy
At Vitals Health, we strive to make the payment process as convenient as possible for our clients. We offer direct billing to select insurance providers to streamline your experience. Please review our direct billing policy below:
Third-Party Billing Disclaimer
-
Vitals Health acts as a third party in processing direct billing claims. We do not determine coverage, eligibility, or reimbursement amounts.
-
All claims are subject to approval by your insurance provider, and any issues or disputes must be resolved directly with them.
-
Claims cannot be submitted for a future date; they must be processed for services rendered on the date of the appointment.
Patient Responsibility
-
Direct billing is not guaranteed. If your provider denies or only partially covers a claim, you are responsible for paying any remaining balance at the time of service.
-
Claims that are paid to the insurer mean that the insurer is responsible for covering the service. In such cases, the clinic will not wait for the claim to be approved or for the client to receive reimbursement—the full payment is required at the time of service.
-
It is the clients' responsibility to verify their coverage and benefits before their appointment.
Claims Processing
-
We will submit claims on the clients behalf, but approval and processing times vary by provider and coverage type.
-
We are not responsible for delays, errors, or rejections from insurance companies.
-
Please note that while your insurance provider may be listed among those we offer direct billing for, direct billing is not guaranteed for all practitioners at our clinic. Eligibility may vary depending on your specific provider and policy. In such cases, patients will be responsible for submitting claims directly to their insurance provider.
Secondary Insurance Policy
-
Vitals Health is not authorized to direct bill secondary insurance providers under any circumstances. It is the client's responsibility to submit claims to their secondary insurance directly.
-
When filling out the intake form or providing insurance details to our admin staff, clients must provide the primary insurance provider for which Vitals Health will submit claims.
Student Insurance Policy
All student insurance claims must be submitted by the students themselves, following the guidelines provided by their educational institution’s website.
Appointment Cancellations Due to Insurance Coverage
If a client cancels their appointment within 24 hours or at the time of their appointment due to their insurance not covering the session, the full session fee will be charged to the card on file.
